Office Duty Responsibilities

 Welcome Children to School

  • Hold the the front door open for arriving children (9:00am – 9: 10am)
  • Take the portable office phone with you to answer calls.

Playground Safety Checklist

  • Check the front and back playground for hazards and sign off the safety checklist

Attendance

  • Check messages on the office answering machine
  • Write down messages and distribute to teachers
  • Record absences on the attendance sheets near the door of each classroom (9:45)
  • Contact parents for any unexpected absences.  Call child’s home first, then try the parents’ office or cell phones listed on the Emergency Numbers list (top right hand drawer of office desk).  If you do not get an answer, leave a message letting parents know that the child is not in school and ask them for a return call to report the reason.

Carpool

  • Verify id of parent calling with carpool changes (procedures posted above phone)
  • Write down carpool or pick up changes on a message slip; post them in the Director’s room on the hook by the carpool list
  • Advise the appropriate teacher and child of changes

Mail

  • Pick up Co-op mail from the blue plastic bin in the church office (Room 21) and leave it on the office desk.

Phone Calls from Prospective Parents

  • Info regarding tuition and policies is posted near the phone
  • If unable to answer questions, write a message for the Director to phone them
  • Schedule visits on the calendar posted on the refrigerator

Visits from Prospective Parents

  • Provide visitor a handout from the folder marked “Information from Visitors”
  • Show visitor the classroom, large muscle room, and playgrounds
  • Answer any questions
  • Have visitor complete the “Record of Observation” form (top right hand drawer of office desk)
  • File the completed form in the front of the top right hand drawer so visitor can be placed on the waiting list
  • Advise visitor that Director Kathy Delsanter will call them in mid-February to confirm placements for next year.  Let Kathy know if visitor is applying for this year.

Contact parents for next week’s office duty (Friday only)

  • Call the parents listed for next week and remind them of their scheduled days. List is on the refrigerator

Fire Drill

  • If there is a fire drill, take the portable phone and the red Crisis Plan book from the bookshelf by the refrigerator to the Director
  • Help the co-op parent in the Director’s classroom take the children outside to the opposite side of the parking lot
  • Count the children to make sure all are there
  • Pretend to pin on name tags for evacuation

General

  • Bring something to read in case there is nothing to do
  • Use call waiting if you are on the office phone; Emergency calls could come in
  • Teachers may ask you to sit with a child who is ill or disruptive
  • Teachers may ask you to call a child’s parents to pick them up; phone numbers are on the Emergency list in the top right office desk drawer
  • Secretary may ask you to help label & distribute weekly notes
  • Straighten up any clutter in the office and make sure things are in their right place
  • Make sure clean towels are under the “clean” sink in the kitchen area
